Settings - Reminders

Quinyx permits configuration of a number of different reminders that are sent via Qmail. You can set up reminders under the Settings tab.

The following reminders can be created:

  • Employee attest missing
  • Punches/absences missing attest
  • Leave type occurrence and duration

Employee attest missing

If an employee has not approved all their time punches and absences during a given period, an automatic reminder may be sent to the employee and/or their manager.

Click the Add new button.

Give the reminder a name, and select Employee attest missing. State when the reminder is to be sent and who is to receive it. Standard channel(s) means that the message will be sent to the according to the "Send notifications by" setting specified in the employee card. Alternatively, it is possible to select which channel(s) this reminder will always be sent. Select the sender and enter the reminder text.

Click Save.

Punches/absences missing attest

If there are punches or absences for a given period that have not been attested, an automatic reminder can be sent to the relevant manager.

Click the Add new button.

Give the reminder a name, and select Employee attest missing. State when the reminder is to be sent to the manager.

Alternatively, it is possible to select which channel(s) this reminder will always be sent. Select the sender and enter the reminder text.

Click Save.

Leave type occurrence and duration

Reminders can be sent indicating when an employee has had more than X occurrences of the same leave type over a given period, e.g. illness.

Click the Add new button.

Give the reminder a name, and select Leave type occurrence and duration. State when the reminder is to be sent. Checking "of consecutive" only creates reminders if the absence days are back-to-back with no free days or scheduled days in between. Select which leave type will trigger the reminder. Specify who is to receive reminders. Standard channel(s) means that the message will be sent to the according to the "Send notifications by" setting specified in the employee card. Alternatively, it is possible to select which channel(s) this reminder will always be sent. Select the sender and enter the reminder text.

Click Save.

As can be seen in the example above, it is possible to add "macros" in the reminder text, which will be substituted with the relevant employee's personal details. The following macros are supported:
