Important information

For good order, we want to inform all customers that Amazon Web Services EMEA SARL, 38 Avenue John F. Kennedy, L-1855, Luxembourg, is the entity we engage as a sub-processor for hosting services, and to the extent relevant, any applicable data processing agreements containing a reference to a different Amazon Web Services entity (e.g., Amazon Web Services Sweden AB), shall be considered updated accordingly. For clarity, this change merely reflects our formal contractual relationship with Amazon Web Services and does not affect the actual processing of personal data (servers, hosting location, security measures, etc., all remain the same).

End of life of the Classic and mobile SSO by March 31, 2024

Quinyx has decided that the support for the old SSO configuration (Classic and Mobile) will be removed during 2024.

New configurations are already available in the Manager Portal, and you'll now only need one configuration for all Quinyx applications. We recommend that customers still using the old configuration start planning to set up the new configuration.

The new configuration provider setup supports either SAML 2 or OPEN ID standards.

You can find information about how users log in with the mobile apps with the new SSO configuration here.

End of life of the Notice of Interest functionality December 2023

Our legacy functionality, Notice of Interest, will be discontinued at the end of December 2023. Therefore, we urge all our customers to use the Availability functionality instead of Notice of Interest as soon as possible. The availability functionality is more user-friendly and supports more use cases than the Notice of Interest functionality.

One function that availability supports is converting an availability item into a shift in the Schedule view of the Quinyx web app. Quinyx also supports sections with availability and multi-selection of both units and sections when creating availability as a user. We've implemented the possibility for users to see, create, edit, and delete their own availability hours in our mobile apps.

For the mobile apps, the permission for availability is turned off by default and needs to be turned on under Mobile and Staff portal permissions in web.quinyx.com.
Read more about using the availability functionality in the mobile app here and in the web app for managers here.

New functionality

Imported bank holidays added as event categories

In Version 174, we're adding the possibility to import bank holidays that are then automatically added as event categories and created as events (created within Event management).

The option to import holidays is added to the Events Management functionality and can be used on the Event Categories page. By selecting the button Add new, you can choose between Create manually and Import holidays. When importing holidays, you are automatically adding categories which are automatically created as events that match all details returned by the API.

This helps central managers import preferred holidays for a specific time period, of a specific country, in a specific language, instead of manually adding one each year. With this import, we are automatically creating events based on imported holidays, and in this way, we're also helping local managers when working with events in their stores.

Audit logs for shift unassignment requests
As of 11 pm,  November 28th, we have decided to temporarily remove the Audit logs for shift unassignment requests feature from release 174 due to a severity 1 bug encountered last week related to Shift swaps audit logs. Releasing new items inside the audit logs framework will be on hold until we identify and address the root cause of the severity 1 issue.

This is the third out of many planned additions to our new audit logs framework. As of this release, in addition to other shifts, shift bookings, and shift swaps audit logs, you will be able to search for shift unassignment request audit logs in Quinyx.

With this addition, Quinyx provides more information and a bigger picture for managers to understand if some shift changes are actually coming from connected shift requests. In future releases, we are planning to complete that picture by adding logs for one more shift request - Shift assignments on the away unit

Searching for shift unassignment request audit logs inside the Adjust view panel follows the same logic as described in this article Audit logs (current) with the addition of the new “Item type” called “Shift unassignment”.

Navigating the logs search results in our audit logs table follows the same logic as described in this article Audit logs (current) with the following adjustments:

  • Shift unassignment is a separate item, meaning it will have its own separate row inside the audit logs table.
  • Inside the Timestamp column, Quinyx displays the date and time when a given action in Quinyx was carried out.
  • Inside the Groups affected column, Quinyx displays the units and sections that were affected by the action in question.
  • Inside the Item type column, Quinyx displays a new item type named Shift unassignment.
  • Inside the Item column, Quinyx shows the details of the shift for which the shift unassignment was created. Shift details include [Start date] [Start time] [End time] [Shift type name].
  • Inside the Action column, Quinyx displays actions taken on a shift unassignment request, and they fall into the following types: create, approve, deny, and delete.
  • Inside the Action made by column, Quinyx displays who has carried out the action in question.
  • Inside the Action made for column, Quinyx displays who was affected by the action in question.
  • The shift unassignment item has no additional properties assigned, so this item type’s rows will not create any sub-tables on any action.
Note that you can only access log data starting from the date the logging was released. For instance, since shift unassignment request audit logs are released in release 0174 on November 29, 2023, the current logs do not hold shift unassignment log data for any dates prior to November 29, 2023.

Updates and performance improvements

New default setting for Productive hours

In Account settings > Shift types, the default setting of the “Productive hours” field has been changed from “Yes, for scheduled hours” to “Yes, always”.

The reason for this change is that this is by far the most common way to configure shift types across our customer base, and because the previous default value therefore sometimes caused confusion and even mistakes during shift type configuration by Quinyx employees and Quinyx superusers alike.

Improvements to the search bar in the People tab

With this release, we’ve refactored the Search Bar in the People Tab. Now, just type in your search criteria, and hit the big green “arrow button” to perform your search!

Cost center integration key updates

Integration keys for Cost Centers have been hidden with this release to minimize the confusion with that and the Reference ID.

Validation updates for Roles

When configuring the Role for an employee, we’ve relaxed the validation to allow for the end date to be the same as the start date. Previously, this wasn’t allowed, meaning it was impossible to configure a role for a single day. But with this validation removed, you are now free to do so!

Schedule approval flow improvements

We are making some minor improvements inside our Schedule approval process. Now, for all customers using a two-level approval process, when the planner requests approval of the schedule from the assigned approvers, Quinyx will provide which stage of the process is currently in.

For example, if the schedule is currently being reviewed by an assigned second-level approver, Quinyx will provide that information to the planner. This will help with transparency inside the whole process and allow the planner to react and remind assigned approvers to finish the process so that it follows company-defined timelines.

Frontline Portal Version 0174

New functionality

Sending stories to people without mandating private visibility

Previously, you had to set stories to "private" in order to send to people/individuals. Due to demand, we have now removed this restriction so that all distribution options available for other resource types are available for stories.

Distribution - visibility options

We've made some improvements to the visibility options for distribution. When distributing a resource, as the author of the resource, you can now select who has visibility of the resource using the following options:

Visibility option

Visibility granted to...

Private

Author, recipient

Superiors

Author, author’s group, every user between author and recipient in the hierarchy, i.e., everyone above the recipient in the hierarchy, recipient

Peers and superiors

Author, author’s group, every user between author and recipient in the hierarchy, i.e., everyone above the recipient in the hierarchy, recipient, every user in the recipient’s group

  • Users can only select one of the visibility option radio buttons
  • By default, the "Peers and superiors" option is selected (unless the resource has been set as private on the title modal).
  • Users must select one option in order to set the audience (mandatory)

Bug fixes

  • Resolved an issue causing hyperlinks in the app to not work as expected.
  • Resolved an issue related to the removing and adding of audiences to a folder.
  • Resolved an issue where stories sent to an audience using by role type or by group type filters wouldn't display stories to all users higher in the hierarchy.
  • Resolved an issue causing the due date/time for tasks to be incorrectly shown when using French as your preferred language.
  • Resolved an issue causing users with a Submitter role not to be able to edit selected audiences.
  • Resolved an issue that made it impossible to pin stories when distributed by role type.
  • Resolved an issue causing you not to be able to delete old links.
  • Resolved an issue with viewing item details on the widget list.

SOAP API / Webservice updates

  • No updates in this release.
  • No endpoints are currently deprecated and planned for removal.
Click here to view the new Quinyx WFM Web Service documentation. You can find even more web services info here.
We encourage all of our customers to make use of our APIs to maintain data and to make sure that information is up-to-date. To ensure the scalability of our APIs while growing our customer and user base, we've decided to add restrictions on the usage of our SOAP APIs. These restrictions will be enforced programmatically, which means we will enforce a limit on concurrent calls per customer to 10. You should expect response code 429 if you happen to exceed this limit, and you are recommended to implement a backoff retry mechanism to handle the limit. Note that the limit applies to SOAP only. When moving from SOAP to Rest over the coming years, any limits will be built into the API.

Please make sure to forward this information to the party within your company responsible for integrations.
