Auto Assign overview

Updated by Daniel Sjögren

You need to have purchased the Auto Assign module to configure and use this solution.

Quinyx's Auto Assign solution is designed to simplify the daily responsibilities of local managers by addressing the intricate challenge of crafting compliant, efficient, and employee-friendly schedules. This algorithm considers local labor laws, business goals, and individual employee preferences to assign shifts effectively. By optimizing the distribution of the available workforce across upcoming shifts, it minimizes the need for manual adjustments. This leads to schedules that are not only more compliant and efficient but also fairer, contributing to greater employee satisfaction.

Once the algorithm is initially set up, planners can automatically generate schedules for the upcoming period with a simple click. This automation significantly reduces the number of manual steps involved. In just a few minutes, the algorithm delivers the optimal schedule, considering as many rules and constraints as possible. This streamlines what is typically a time-intensive process, freeing up planners to focus on other important tasks that demand their attention.

Use cases

The Auto Assign algorithm offers a solution for customers of practically all sizes. It automatically generates efficient schedules for small companies with locations with only a few employees and for locations with complex scheduling rules, many employees, and employee preferences.

When automatically generating a schedule for the upcoming period, the Auto Assign module can take into account several aspects:

  • (Local) Labor laws
  • Business scheduling rules
  • Costs of the schedule*
  • Fairness rules to ensure equal distribution of (un)favorable shifts among employees
  • (Un)availability of employees
  • Preferred working times of employees
  • Shift and employee skill matching
  • Employee hour balances
  • Schedule of the previous period

Based on the business strategy, each of those aspects can be prioritized if needed. For example, to improve employee happiness, you can configure the algorithm so that that employee preferences are given more weight than the company's preferences. You can do this by adjusting the weights of the different rules in the algorithm.

The algorithm's is a set of unassigned shifts for the upcoming period. When clicking the Auto Assign button, the algorithm will for a couple of minutes (dependent on the number of shifts, rule set, and number of employees), and, after finishing, directly display the generated schedule in the Schedule View. If needed, the local manager can manually adjust this schedule and publish it when ready.

* Due to the complex pay rules and overtime methods, the algorithm can't accurately calculate costs. Therefore, the algorithm can only indicate the actual costs of the generated schedule.
