The Dashboard is the first view you will see when you log in. It is designed to provide simple, quick access to important information and also enables you to implement actions quickly directly from it. You have access to the various modules in Quinyx via the menus at the top of the page. The overview tab is used to easily access relevant information such as forthcoming free shifts, news, new Qmail, shift changes and general system information. The page consists of set-up pods, depending on which modules are activated and your user rights. These pods can move desired position and minimise and maximise in size.

At the top on the right, If you have the relevant permissions, you can select from a dropdown which unit you want to work in. There are different tabs or menus at the very top of the page, intended to provide access to the various modules, depending on which modules are activated.

Schedule

In the Schedule tab you can, for instance, see the monthly, weekly and daily views. You can also create the schedule here and plan leave.

Time

The Time tab displays time cards and punches. As an administrator, you can also approve times here, transfer files to the payroll system and create agreement templates.

Task

If the task module, self check, is activated you can for instance create routines and control points under this menu.

Staff

All staff are administered here. You can also create here skills and staff categories which can then be linked to employees.

Forecasting

In the forecasting module you can optimise staffing based on historical data by using historical data such as sales data.

Budget

In the Budget tab you can input the budget value that you can base a forecast on in order to achieve optimal manning.

Communicate

For example, you can send QMail from here and create news.

Reports & Statistics

In the Reports & Statistics tab you can:

  • See Statistics of variables such as e.g. Planned hours, Sent SMS.
  • Generate different types of Reports like for example Schedule reports, Time reports and Staff reports.
  • Through Define reports, reports are created containing information that is relevant you.

Settings

You configure Quinyx for your organisation under Settings. You can make certain changes to organisational structure, salary types, leave types, rights, etc.

Time

The Time tab on the very right provides you with access to the new user interface in Quinyx, Neo - contact Quinyx if you would like to access this.

Pods on the overview page

Unassigned shift

This pod displays all the unmanned shifts in the published schedule.

If you click on an open shift, the scheduling screen automatically appears for the day featuring the open shift so that you can then man, edit or remove the shift.

Shift to approve

This shows the requests for shift changes which employees can submit via the staff portal. As an administrator, this function can help you save a huge amount of time and prevent any administrative muddle. The requests must be approved before they start to apply.

You can click on each shift change and review the criteria for the shift, after which you simply approve, deny or wait to process the shift change.

Several employees can apply to work the same shift via the staff portal. This allows the administrator to select the most suitable candidate for the shift.


After a shift booking has been processed, it disappears from view.

An automatic QMail informs the employee that he/she has been assigned the open shift. If several employees have applied to take the same shift, they are advised at the same time that they have not been assigned it.

Leave applications

You can see here the leave applications which have not yet been approved.

Click on the leave application to process it. You can see here which period the application relates to and the shift which the employee is scheduled to work. You can simply and quickly process the request from here.

Click the Wait button to continue. This means that the application remains in the pod until you are ready to process it.

System information

The pod displays key system-related information such as:

  • the number of logins during the previous day
  • Schedules, skills and agreements which are about to expire
  • Employees’ birthdays
  • Reminders

QMail

QMail is the Quinyx internal mail system. The pod informs you quickly and seamlessly that there are new, unread messages available.

QMails are automatically generated in some cases. For example, the manager is messaged when leave applications arrive and the employee receives a request when the manager has approved or rejected it. Qmails can also of course be sent manually. Click on a QMail to open it.

You can send a reply to several people at the same time and choose how to deliver the message. You also have an option to attach files, request a read receipt and create a text based on a predefined form (templates).

News

This displays global, local and group news. You can use the boxes in the top right of the pod to enable or disable the various news types. You create news under the Communication tab.

  • Meeting reminders
  • Employee handbook
  • General information
