Update shift types

It's possible to update local and global shift types in Quinyx and then have those edits be reflected in any shifts (and tasks, if applicable) created from that point onwards in time in base schedule shifts and shifts in the Schedule view.

For local/unit-specific shift types, go to Group settings > Shift types > Update shifts. For global/shared shift types, go to Account settings > Shift types > Update shifts.

The following criteria are available for you to specify which shifts you want to update.

Groups

This tree allows you to select which groups you want to propagate your shift type edits to. Use the checkboxes of the tree structure of groups to select this. You can use the free text field to more easily locate items in the tree structure. The tree structure is collapsed by default.

The number of districts, units, and sections selected will be displayed under the free text field.

If accessing this feature from account settings, you can select any group or groups across the account. If accessing it from group settings, you can select the group currently selected in the group selector of the nav bar, as well as any of its child groups*.

The default value for this field is the group currently selected in the navigation bar's group selector, as well as all of its child groups (if applicable).

Deselecting a parent group also deselects all of its child groups. Selecting a group automatically selects all of its child groups. Note that you're able to deselect all said child groups at your discretion.

Shift type

Select the shift types you want to carry out the action for. Choosing "Select all” selects all shift types in one go.

Select what to update

Select which specific shift properties you want to update. The shift properties available to update are:

  1. Count as scheduled hours
  2. Count as punched hours
  3. Cost center
  4. Comment
  5. Free day
  6. Productive time
  7. Project
  8. Shift times
  9. Section
  10. Salary type rules
  11. Task
  12. Show breaks in mobile app

Update salary type rules only on shifts that have no current rules applied to them

This checkbox only displays if you select the “Salary type rules” option in the “Select what to update” field above.

If you tick this checkbox and click Update, Quinyx will scan the shifts matching your selection criteria and identify any whose current state of salary type rules does not match that of its shift type. It will then add any missing salary type rules to said shifts.

This is a legacy feature, implemented with the intention of providing you with self-service capabilities to resolve (a now resolved) recurring bug in our system related to salary type rules. Until further notice, you may use this feature at your discretion. 

Select where to update

This part of the form allows you to select whether you want to only update shifts in Schedule, or also in Base schedule; and if yes, then which base schedules. Ticking the Base schedule “parent” checkbox will select all base schedules. Note that the base schedules that are displayed in the list are only those that contain at least one shift matching the remainder of your selection criteria of the form in question.

Note that base schedules with unresolved warnings can’t be updated, and will therefore appear with greyed-out text along with the text “Can’t be updated as base schedule warnings are unresolved.”

Once you’re done selecting your update criteria, click “Update” in the bottom-most part of the panel. Once the update is complete, a toaster indicating its success will appear:

Some changes (for example, a change in the shift type name or associated costs) are immediate and affect historical shifts as well, and others require an update to take effect.

If your selection of shifts is large, the loading is likely to take some time and the Update shifts panel will remain open while a spinning wheel displays over top of the Update button. You may navigate away from this screen - or open another tab in your browser - and come back to the Update shifts. However, do note that if you do so, the above-mentioned toaster will not display upon update completion, nor will your selection per fields display. This is something we aim to improve over time.

If there are any kind of errors related to the update, the text in the toaster will read “Not all shifts were updated. Please try again”. The reasons for such an error could be, for instance, that another user in your organization attempts to roll out a base schedule that’s part of your update criteria while you’re filling out the Update shifts form. Please note that in such cases, you may update again as many times as you would like. 

This currently only applies to units and sections.
When a shift type is updated with a cost center and/or a project, the update will be reflected not only in the GUI but also in reports containing this information the Salary details report, for instance). Note that this will be applied when you choose to Update shifts in the Actions tab in Shift types and not by only saving the edited shift type.
A note about permissions

In Quinyx, users will need write access to the “Shift types” permission to make use of this feature. Since pre-Version 0183, the “Apply rules” didn’t control whether or not users could update salary type rules values, but rather specifically whether they could make use of the “Update salary type rules only on shifts that have no current rules applied to them” feature, we’re currently collecting feedback as to how to best evolve said permission. When updating shifts through group management, you need write access on the shift type permission.
