FAQ New Rules for Additional Time (Mertid)

The purpose of this FAQ article is to answer the most common questions regarding the new rules for additional time that take effect in conjunction with the collective agreement changes on April 1st. This is the first version of the new additional time functionality, and we will develop it further in future releases. We will continue to add more questions and answers over the coming days and weeks.

Q: If the new pay types for additional time need to be activated, does that mean we will be able to deactivate pay types as well?

A: Yes. As with all pay types, you have the option to activate/deactivate them at the agreement template level. The 24 new pay types will be migrated to all customers in connection with the release.

Q: Is it not possible to schedule the shift directly on the employee, or does it always need to be via an "unassigned shift" and a shift offer?

A: It is possible to schedule a shift directly on an employee, but this results in the employee not receiving a notification via the shift offer function—meaning no "digital handshake" occurs. This is to allow for retroactive changes.

Q: Do I, as a manager, have to select additional time types 1–4 on every shift? Will Quinyx not recognize this if a schedule is created directly?

A: Yes, you need to select the additional time level on each individual additional time shift.

Q: When using the "Offer Shift" function, you can select multiple people. How do we secure LAS (Employment Protection Act) compliance if the employee who responds first gets the shift?

A: It is possible to select multiple people, but we do not recommend this for the first version. The reason is that if you offer the shift to several people, it is harder to ensure the right person receives the correct compensation level, as the shift will have a specific additional time level linked to it. However, if you know that, for example, five people you are offering the shift to are entitled to the same compensation levels, you are welcome to do so—you just need to be certain.

Q: Does the new additional time shift recognize when an employee exceeds full-time hours and then apply overtime?

A: This can be configured via overtime methods.

Q: Will punch-ins link to the correct shift automatically if there are two shifts on the same day? Currently, we have issues where a punch must be broken to link to the relevant shift when there is more than one shift in a day.

A: The employee will need to punch out of the previous shift and punch in for the additional time shift.

Q: Do we have an example of when an employee punches past their regular shift? For example, when a new shift type isn't created?

A: This can be defined using overtime methods.

Q: Will the additional time pay types trigger the "overtime dialog" in Webpunch? A: No, currently the overtime dialog will not be triggered in Webpunch when using additional time pay types. In the first release, no changes are being made to Webpunch.

Q: If I don't select an additional time level on the shift, will no level be added automatically (meaning no additional time compensation is paid)? But if I select "Level 1," will the system automatically add the correct level based on the additional time period?

A: Yes. If no selection is made in the dropdown menu for the new additional time levels, normal compensation will still be generated in accordance with the employee's agreement and settings. If the manager selects "Level 1" but there is also an additional time period configured that should generate a higher level, the system will overwrite the pay for that period with the higher level.

Q: If the employee punches past their regular shift, how can the system tell the difference when compensation varies depending on whether it is under or over two hours?

A: If the employee does not use the new shift type option to manually select a compensation level, all time outside their scheduled hours will be defined by the rule sets configured in your environment—this works the same way as current configurations for overtime and periods.

Q: Will we be able to have a "default text" that either always appears as a comment on the shift offer or can be selected for use?

A: Initially, no default text will be available for shift offer comments. As we further develop the functionality, this is something that may be added if we see a need for it. You are more than welcome to submit feedback via the "Give us feedback" function in the Quinyx web app.

Q: Does the system recognize when a part-time employee exceeds the full-time threshold for a week? We are then obligated to compensate with overtime.

A: This can be configured with additional time and overtime methods. For example, you can set it so that up to 38 hours generates additional time, and after 40 hours, overtime is generated. This is an area that may be developed further in future releases.

Q: Can we set a deadline on the shift offer function—for example, 30 minutes—before offering the shift to the next person on the LAS list?

A: Currently, the answer is no, as time-limit functionality does not exist for the shift offer feature. However, you are very welcome to share your feedback with us!

Q: What is the difference between the different additional time types (e.g., Additional Time 1 and Additional Time 2)?

A: The new types correspond to different levels of compensation, in the same way that overtime can have different levels (e.g., depending on the time of day the work is performed).

Q: Is it possible to exclude specific shifts from accumulated additional time? Example: For substitute shifts due to illness where we want to ensure these shifts (which have different hourly pay types) do not drive up the total additional time.

A: Yes. You can choose to configure a shift so that it does not count as scheduled or worked time.

Q: Can I name the additional time shift types whatever I want? For example, "Sub" or "SÄVA"?

A: Yes, when you create a shift type, you can name it whatever suits your needs best.
